POSITION SUMMARY:

Are you a strategic and detail-oriented event planner looking for a new challenge? The Royal Ontario Museum is seeking a talented and creative Event Sales Coordinator to join our dynamic team. As the Event Sales Coordinator, you can showcase your expertise in the hospitality industry by developing, planning, organizing, implementing, and following up on a wide range of special events at the Museum. You will play a critical role in ensuring every event is executed flawlessly, from creating detailed documentation and coordinating room set-up plans to managing vendors and overseeing event requirements. RESPONSIBILITIES:

  • Lead the development, planning, and execution of special events at the Museum, utilizing strategic thinking to create unforgettable experiences that align with the ROM's brand and goals.
  • Conduct comprehensive evaluations of client requests, collaborating with various departments to design and implement detailed event plans, contracts, and budgets.
  • Ensure that every aspect of the event, from room set-up to vendor coordination, meets the highest quality, functionality, and aesthetic appeal standards.
  • Bring a creative and visionary approach to every event, leveraging innovative ideas and solutions to exceed client expectations and create a lasting impression.
  • Oversee all aspects of event logistics to ensure smooth and effective execution while managing any issues that arise with tact and diplomacy.
  • Represent the Museum and its brand, acting as a liaison between clients, vendors, and other stakeholders, to build positive and collaborative relationships.
  • Proactively seek out opportunities to promote the Museum's services and offerings to potential clients, highlighting the unique and strategic value of the ROM.
  • Research, design, and source standard and unique services to continually enhance and expand the Museum's special event offerings.
  • Perform other duties as assigned, contributing to the Museum's overall strategic goals and objectives.

Qualifications

  • Minimum of a university degree in Hospitality or Tourism Management or an equivalent combination of education and experience
  • At least eight (8) years of related experience with extensive knowledge of and experience in the hospitality industry, including corporate, convention, and association events
  • Experience in the Arts and Culture, Charity, or Not-for-profit sectors would be a valuable asset
  • Expertise in room layout and design, food and beverage facilitation, and space management
  • Demonstrated facilitation and negotiation skills are critical, with strong interpersonal skills, including oral and written communication abilities
  • Proven ability to develop and control budgets while achieving the desired client and Museum budget goals
  • Strong organizational and project management skills to effectively plan, coordinate, and advise Museum service departments
  • Initiative, sound judgment, and strong client service orientation skills
  • Demonstrated proficiency with computer applications (Microsoft Office) and experience with Delphi and/or catering software. Proficiency with Delphi Diagrams and/or other event diagramming/layout software would be considered a vital asset.
  • Must be available to work flexible hours, including evenings and weekends.

SALARY: $66,022 - $75,453 per annum

SCHEDULE: up to 35 hours per week
