POSITION SUMMARY:

Are you a finance expert with a knack for organization and a strategic mindset? The Royal Ontario Museum is seeking a talented and motivated Department Budget Officer to join our team! Reporting to the Vice President of Visitor Experience, you will play a key role in ensuring the financial success of the department by processing all financial transactions and managing budgets and forecasts. You'll also have the opportunity to negotiate with suppliers, handle purchasing of supplies and equipment,.

In addition to your financial responsibilities, you'll also coordinate administrative functions for the Visitor Experience and Security Departments and provide limited administrative support to the Vice Presidents of Communications & Publishing and Brand & Marketing. This is a dynamic role where you'll work closely with various teams across the museum, helping to shape the financial success of our organization. RESPONSIBILITIES:

As the Department Budget Officer, you will play a crucial role in managing budgets and financial reporting controls for various departments within the Marketing & Communications Division. You will assist in developing annual budgets and forecasts and ensure procurement practices are followed at the ROM. In addition, you will manage administrative functions for the Visitor Experience and Security Office, monitor office supplies inventory, and reconcile credit card expense statements.

  • Monitor and maintain budgets for the Chief Marketing & Communications Officer, Marketing, Communications & Publishing, and Visitor Experience,.
  • Process invoices, arrange approval signatures, and submit to Accounts Payable for payment processing.
  • Assist in developing annual budgets and forecasts for multiple Marketing & Communications Division groups.
  • Compile budgets, coordinate and merge each unit's budget into a departmental plan, and establish financial reporting controls for the Chief Marketing & Communications Officer, Vice President, Brand & Marketing, Vice President, Communications & Publishing, Vice President, Visitor Experience, Assistant Vice President, Membership.
  • Manage budgets and reconcile general ledgers, reporting variances to the Finance Department.
  • Support procurement practices at the ROM by preparing purchase requisitions, arranging with the Procurement Department to issue purchase orders, purchasing necessary supplies and equipment, and negotiating with suppliers for goods and services requisitions.
  • Coordinate administrative functions for the Visitor Experience and Security Office, including managing the calendar of the Vice President, Visitor Experience, and arranging meetings.
  • Monitor office supplies inventory and initiate replenishment for the Marketing and Communications Division and Security Office.
  • Pick up and distribute mail.
  • Prepare and reconcile Purchase and Travel credit card expense statements for multiple teams, including the Chief Marketing & Communications Officer, Marketing, Communications, Visitor Experience, and Assistant Vice President, Security.
  • Perform other related duties as assigned.

Qualifications

  • Completion of a three (3) year post-secondary diploma or Bachelor's degree in commerce, accounting, business administration or an acceptable equivalent in education and experience.
  • Minimum of three (3) years of administrative experience in a customer service environment with well-established financial systems and processes.
  • Proficiency in Microsoft Office software and experience operating database systems.
  • Strong organizational and interpersonal skills.
  • Excellent mathematical, analytical, and problem-solving skills.
  • High level of accuracy and attention to detail.
  • Demonstrated ability to exercise tact, diplomacy, sensitivity, and discretion when dealing with confidential information and potentially sensitive correspondence, both internally and externally.
  • Demonstrated knowledge of office administrative processes and procedures. Excellent coordination and scheduling skills.
  • Experience in invoicing, accounts payable, financial forecasting, and budget management.
  • Intermediate knowledge of database, desktop publishing, and word processing programs.
  • Proven skills in effective writing, accurate minute-taking, and editing of electronic material.
  • Effective oral communication and public relations skills strongly focused on visitor excellence.
  • Initiative and sound judgment skills.
  • Fluency in French is considered an asset.
